First off let’s take a moment and put “cost” into perspective.
If you have looked around any at all, you will have found:
- Some scanning and OCR/Barcode software (not documentINDEXER+) requires click or volume charges (based on a page count scanned or processed).
- An unlimited license to process documents is expensive (not documentINDEXER+)
- Setting up of workflows will usually involve special coding or scripting (not documentINDEXER+). You will need to have it either done for you (out sourced) or someone on staff to know the programming language = a cost.
- Unlimited end user retrieval tools are usually nonexistent (not documentINDEXER+). Most packages will charge for per seat (user) or have some sort of tier pricing scheme.
- Most solutions are not device independent and will restrict your installation based on scanner type and capture software used (usually theirs, i.e. more cost - not documentINDEXER+))
- Other software solutions that would compare feature for feature found within documentINDEXER+ can easily start at

So what are the typical costs of a documentINDEXER+ installation:
1. Document Scanner. If you don’t have one, you will need one. This cost will vary depending on the daily page count volume that is needed to capture and type of documents. 2. Document Capture Software. You may or may not need this purchase. It will depend on the scanner model and your particular need. Some scanner models will come with the only capture software you will need (Kodak is one manufacturer that bundles unlimited document scanning software with their desktop and department level scanners). Since documentINDEXER+ has OCR and Barcode capability, there is no need to purchase this in a document capture software product. However, if a more robust production level batch scanning capture software is needed, that cost can range typically from $300 for a low-end scanner to $2500 or more for a high-end scanner. Of course this will depend on the scanner model you purchase.
3. documentINDEXER+ There are four different versions of the software (all can upgrade to the next level):
- MANUAL EDITION (Can not do AUTO Indexing - can also be used as an exception handling index station working with any of the other editions or as its own stand alone Manual Indexing): $495.00
- STANDARD OCR EDITION: Manual and AUTO indexing = $1,995.00
- OCR Barcode EDITION: Manual and AUTO Indexing = $2,995
- ADVANCED EDITION: FORMS RECOGNITION with Manual and AUTO Indexing = $4,995
- Remember that while documentINDEXER+ is installed on only one PC (XP or VISTA desktop type PC - does not need to be a server or workstation class machine), however, the client Lookup & Retrieval Software that comes with the license is distributed to 1, 10 or 10,000 desktops.
4. Professional Services for documentINDEXER+: $1,500
Installations are handled via remote connection. If scanner onsite installation is needed, that is also available for an additional charge. However, most scanners, even to the mid-volume level are considered by the scanner manufacturer’s as consumer installable. There are clear installation instructions found within the scanner container and usually a DVD that is very helpful in the end user’s ability in accomplishing this part of the installation.
5. Technical Support and software updates and full version upgrades for a 12 month period

This figure is taking into consideration for allowing $2,000 for a low-end document scanner and no additionally purchased capture software included. It is also assuming the databases are already purchased and installed. This is is typical of the database software since most companies would already have that in place and are wanting to use documentINDEXER+ to leverage the use of their data. However, if database(s) are not in place, then this would be an additional cost.
